Analytics - postcard reminders

A guide to interpreting your postcard analytics

Practices can see ROI and visit data for postcard reminders through the Analytics tab.

The calculation period for determining a qualifying visit is from the 20th of the postcard batch month to the end of the following month for patients who received a past-due postcard reminder. For example, for postcards mailed in June, any visit from June 20th to July 31st for a patient who received health services specific to a past-due postcard will be counted.

Metrics include the following:

  1. Total visit revenue (to date) — A sum of all qualifying visit revenue from patients who visited during the calculation period after receiving a past-due postcard reminder.
  2. Total investment (to date) — The total amount your practice has paid to send past-due postcard reminders.
  3. Top 5 revenue types — The revenue categories that are invoiced most frequently for patients who visited during the calculation period after receiving a past-due postcard reminder. Grooming and boarding revenue will be included only in cases where there was also a medical service performed on the invoice.
  4. Appointment completion rate (to date) — The percentage of patients who completed an appointment and received the health services that were due during the calculation period following receipt of a past-due postcard.
  5. Overall rate per pet — The average revenue received from patients who visited during the calculation period after receiving a past-due postcard reminder.
  6. Postcards monthly review — A batch-by-batch breakdown including:
    1. Created month — The month that the postcards were mailed.
    2. Clients targeted — The total number of clients who received at least one past-due postcard.
    3. Patients targeted — The total number of patients who received at least one past-due postcard.
    4. Patients booked — The total number of patients who visited during the calculation period after receiving a past-due postcard reminder.
    5. % booked — The percentage of patients who visited during the calculation period after receiving a past-due postcard reminder.
    6. Investment — The total amount your practice paid to send past-due postcard reminders.
    7. Visit revenue — The total revenue generated from patients who visited during the calculation period after receiving a past-due postcard reminder. Grooming and boarding revenue is excluded from all calculations.
    8. Rate per pet — The average revenue received from patients who visited during the calculation period after receiving a past-due postcard reminder.
    9. Open month — Indicates if visits are still being calculated for the current batch month.

Calculating your ROI:

The most common method of calculating ROI is with the following equation: ROI = Visit revenue / Investment x 100.

Example calculation from the image above: $32,860 / $865 x 100 = 3,798% ROI
